Setting up Trello Integration with NextGen story map

Learn how you can setup and operate integration between Trello and StoiresOnBoard.

StoriesOnBoard & Trello integration overview

Integrating a story map with a Trello board allows teams to plan more effectively, utilizing the visual power of story mapping to achieve transparency and shared understanding among stakeholders. Bring the team around to the story map to see the big picture and take advantage of real-time and bidirectional sync with Trello to keep everyone up to date at all time. The integration makes it possible to plan releases on the story map and push cards to Trello for execution. How to setup Trello integration with NextGen projects

  1. Open the story map

  2. Go to “Settings“

  3. Select “Integration settings”

  4. Click on “Trello” and then “Connect”

  5. Initiate authentication in Trello

  6. Allow application access to your account

  7. Select a Trello board then click on “Connect board”

  8. Follow the Integration setup wizard and set up integration details

  1. Setup what would you like to sync with Trello

  2. Setup export settings to identify which list you want to push your cards to Trello

  3. Setup import settings

  4. Setup status mapping between StoriesOnBoard and Trello

Step-by-step guide to link a story map to a Trello board

Open the story map you want to connect to a Trello board and open “Settings”, then select “Integration settings”. Select Trello and proceed with “Connect”.

In order to be able to take advantage of the real-time bidirectional sync you need to provide access to proceed.

Proceed with “Allow“ access to complete this step.

To link your story map to a Trello board, select which Trello board you want to connect the story map.

Setup what would you like to keep in sync between StoriesOnBoard and Trello:

  • Synchronize title changes

  • Synchronize description changes

You need to define where you want to push user stories from the story map. To do this, select a Trello list where cards will be pushed. Optionally, you can add StoriesOnBoard card link to the Trello card as an attachment.

During import you can enable or disable the following import settings:

  • Allow editors to import cards from Trello

  • Don’t import cards from archived lists

To make sure user stories’ statuses are going to be synchronzied, setup status mapping between StoriesOnBoard and Trello. Link Trello lists with StoriesOnBoard statuses.

Integration settings for Trello

Once you successfully connected to your Trello instance, you will be able to access Integration Settings for Trello as following:

  1. Open the story map

  2. Go to “Settings”

  3. Select “Integration settings”

Select Trello list for export

To be able to push cards from StoriesOnBoard to Trello, you need to select which Trello list the cards should be pushed. You can set this up in the integration settings under the “Export” option.

Please keep in mind if you wish to push cards to another lists you need to open Integration settings and modify the “Trello list“ option and select the targeted list from the drop down menu and click on ”Save” to apply your new settings.

Map Trello lists to StoriesOnBoard card status

To have great advantage of tracking changes over time you can map StoriesOnBoard card statuses to your Trello lists. This can be done in “Integration settings“ under the ”Status mapping“ option.

⚠️ IMPORTANT ⚠️
Please note once you established the connection between StoriesOnBoard and Trello, card statuses will be only editable from Trello. This is a built in security to allow teams to execute the project without any interruption. To modify linked cards' statuses simply move the item to another list on Trello. Thanks to the status mapping, that will be applied automatically on the story map as well according to your settings.

You can also create your custom workflow on StoriesOnBoard according to your workflow preferences. Then you can match your statuses with your Trello lists.

Real-time card synchronization

Cards from StoriesOnBoard will be synchronized with Trello in real-time and bidirectional if you enable the following options:

  • Synchronize name changes (card title)

  • Synchronize description changes

Import settings

By allowing editors to import cards from Trello a new menu appears on the board where non-admin collaborators can also import new cards from Trello.

You can also ignore importing cards from archived lists by selecting this option in integration settings.

Trello Power-Up

By using Trello Power-Up, you can display on Trello cards much more information for example goal, step, annotation, release, estimation, card color.
