How can I set user roles within the workspace and the story maps?

User role management in StoriesOnBoard

StoriesOnBoard uses different roles to provide certain privileges for users and to restrict permissions.

On Workspace level, we distinguish the following roles: Subscription Admin, Admin, Member, Observer.

On the Story Map level, user roles can be: Admin, Editor or Viewer. You can also select and change the user roles for each story map individually.

Workspace Admins can also provide and remove access to Story Maps and Feedback Management for each collaborator. To enable these functions please go to Manage users and simply check the box at Story maps and/or Feedback Management:

Changing workspace level user roles

Workspace Admins can change the roles of collaborators on the Workspace level by performing the following steps:

  1. Go to your workspace and click on your user name on the lower left side;

  2. Choose Manage Users from the menu;

  3. Select the triangle next to the user’s role in the Role column;

  4. Choose the collaborator's desired role from the drop-down menu.

Changing story map level user roles

Assigning people to Story maps / Boards. If you need to change a user role on a Story map level:

  1. Go to your workspace and select the Story maps tab from the left menu;

  2. Locate the story map you'd like to edit and click on Add users;

  3. Find the card of the user;

  4. Select the triangle next to the role of the user then select the new user role from the drop-down menu.

Enable commenting and discussion for viewer collaborators

You can also improve the collaboration with stakeholders or other team members by enabling ‘Commenting and discussion for viewer collaborators’. If this function is enabled, Viewers have the opportunity to place their comments to the cards, but they can not edit the content of the story map.

How can I enable viewers to comment? (Please note this feature is available from our Standard Plan)

Enabling this option requires almost the same steps as the on above.

  1. Go to your workspace and select the Story maps tab from the left menu;

  2. Locate the story map you'd like to edit and click on Add users;

  3. The switch for viewer comments will be on the next screen.
